Are you an experienced Financial Services Administrator looking to join a supportive and professional team where your contribution really makes a difference?

We're looking for a proactive and organised Financial Planning Administrator to provide essential support to Financial Advisers and Paraplanners, helping to deliver an exceptional client experience throughout the financial planning journey. This is an excellent opportunity for someone with previous experience within the financial services industry who enjoys working in a varied role, has excellent attention to detail and takes pride in delivering outstanding client service.

The Role

As a Financial Planning Administrator, you'll play a vital role in supporting advisers with pre-sales administration, client servicing and ongoing case management. You'll work closely with clients, providers and colleagues to ensure work is completed accurately, efficiently and in line with regulatory standards.

Key Responsibilities

  • Provide comprehensive pre-sales administration support to Advisers and Paraplanners
  • Prepare engagement letters, client agreements and letters of authority
  • Obtain provider information, application forms, valuations and quotations
  • Prepare client files and meeting documentation ahead of adviser appointments
  • Produce up-to-date valuations and supporting information for client meetings
  • Maintain accurate client records using the back-office system
  • Manage adviser diaries, appointments and work schedules
  • Handle incoming telephone enquiries professionally and confidently
  • Welcome visitors and provide a positive first impression
  • Assist with general client account maintenance and ongoing servicing
  • Update client communication lists and support marketing activity where required
  • Carry out general administrative duties to support the wider team
  • Maintain knowledge of industry developments and participate in ongoing training and professional development

About You

We're looking for someone who has:

  • Previous experience working within the financial services industry
  • Experience supporting Financial Advisers or Paraplanners
  • Excellent organisational skills and strong attention to detail
  • Outstanding communication and customer service skills
  • Confidence dealing with clients, providers and colleagues at all levels
  • The ability to prioritise workloads and manage multiple tasks effectively
  • Strong IT skills and experience using back-office systems
  • A proactive attitude with a willingness to learn and develop
  • A positive, flexible and team-focused approach
  • Ideally, you'll have started working towards CII qualifications, although this is not essential
